Privacy Policy

1. Who we are

DelegateAI sp. z o.o. ("DelegateAI", "we", "us") is a private limited company registered in Poland with its registered office at Aleja Monte Cassino 26, 75-412 Koszalin, Poland. We build and maintain custom AI agents for business operations teams.

For the purposes of the General Data Protection Regulation (GDPR) and Polish data protection law (Act of 10 May 2018 on the protection of personal data), DelegateAI sp. z o.o. is the data controller for personal data collected through this website.

2. What data we collect and why

2.1 Contact form submissions

When you use the contact form on our website, we collect: your name, email address, company name (if provided), and the content of your message. We use this data to respond to your enquiry. The legal basis is our legitimate interest in responding to business enquiries (Article 6(1)(f) GDPR).

2.2 Server logs

Our hosting provider automatically records standard server log data including IP address, browser type, referring URL, pages visited and timestamps. This data is used for security monitoring and troubleshooting. It is retained for 30 days. The legal basis is our legitimate interest in maintaining the security and proper functioning of our website (Article 6(1)(f) GDPR).

2.3 Analytics cookies

With your consent, we use analytics cookies to understand how visitors use our website. This data is aggregated and anonymised. It does not identify you individually. You can withdraw consent at any time by clicking "Essential only" in the cookie banner. The legal basis is your consent (Article 6(1)(a) GDPR).

2.4 Client engagement data

When you become a client, we collect additional data necessary to deliver the agreed services. This is governed by a separate service agreement and data processing addendum provided before work begins.

3. How long we keep your data

Contact form enquiries: retained for 24 months from the date of last contact, then deleted unless you have become a client. Server logs: 30 days. Analytics data: as configured in our analytics tool, up to 14 months. Client data: retained for the duration of the engagement plus any statutory retention periods required under Polish law (generally 5 years for accounting records).

4. Who we share your data with

We do not sell personal data. We do not share personal data with third parties for their own marketing purposes. We may share data with:

  • Our hosting provider, acting as a data processor under a signed data processing agreement
  • Our analytics provider, acting as a data processor, if you have consented to analytics cookies
  • Professional advisors (lawyers, accountants) where legally required
  • Law enforcement or regulatory bodies, where legally obliged to do so

If we transfer personal data outside the European Economic Area, we ensure appropriate safeguards are in place (Standard Contractual Clauses or equivalent).

5. Your rights under GDPR

You have the right to: access the personal data we hold about you; correct inaccurate data; request deletion of your data (subject to legal retention obligations); object to processing based on legitimate interests; restrict processing in certain circumstances; receive your data in a portable format; withdraw consent at any time (where processing is based on consent).

To exercise any of these rights, contact us at [email protected]. We will respond within 30 days. You also have the right to lodge a complaint with the Polish supervisory authority: Urząd Ochrony Danych Osobowych (UODO), ul. Stawki 2, 00-193 Warsaw, Poland (uodo.gov.pl).

6. Cookies

We use two categories of cookies: essential cookies (necessary for the website to function, cannot be refused) and analytics cookies (used to understand traffic patterns, require your consent). See our Cookie Policy for full details.

7. Security

We implement appropriate technical and organisational measures to protect personal data against unauthorised access, disclosure, alteration or destruction. These include encrypted connections (HTTPS), access controls and regular security reviews. No method of transmission over the internet is completely secure; we cannot guarantee absolute security.

8. Children

Our services are directed at businesses, not individuals under 16. We do not knowingly collect personal data from anyone under 16. If you believe we have inadvertently collected data from a minor, contact us and we will delete it promptly.

9. Changes to this policy

We may update this policy from time to time. Material changes will be indicated by updating the "Last updated" date at the top of this page. We encourage you to review the policy periodically.
